FORM REQUESTING A RESERVATION (back to top)

PROCESSING TIME

From the time your customer verifies their request and submits a request for a reservation, there is less than one minute before our secure server processes the request, sends the customer a thank-you for requesting a reservation and places the reservation-request in your mailbox. It is virtually instantaneous. (back to top)

CONFIRMING A RESERVATION

When you receive a request on your cell phone or your office computer you check your availability and use the number submitted by the customer to call and confirm the reservation. YOU MAY ALSO RESPOND TO CONFIRM A RESERVATION BY EMAIL. You then mark the form received as confirmed and enter the form into the reservation book. (back to top)

PRINTING RESERVATIONS

ONCE RESERVATIONS HAVE BEEN CONFIRMED WITH THE CUSTOMER YOU SHOULD PRINT THE RECIPT OF THE CONFIMED RESERVATION. DEPENDING UPON THE SIZE OF YOUR PAPER (WE RECOMMEND 3-HOLE PAPER) AND THE DEPTH OF YOUR RESERVATION-REQUEST-FORM, YOU SHOULD BE ABLE TO PRINT THREE OR FOUR RESERVATIONS TO A SHEET AND INSERT THEM INTO A BINDER. YOU CAN PRINT THEM IN THE MANNER IN WHICH YOU WOULD PRINT ANY OTHER EMAIL MESSAGE. IF YOU HAVE NO COMPUTER BUT YOUR PHONE IS BLUETOOTH COMPATIBLE, THERE ARE PRINTERS WHICH WILL DIRECTLY PRINT FROM YOUR PHONE. (back to top)

MANAGING THE BOOK

WE RECOMMEND MAINTAING RESERVATIONS IN A THREE-RING BINDER WITH SEPARATORS FOR THE DAYS OF THE WEEK. AS THE DAY IS PASSED ON THE CALENDAR, MOVE THE PAGES FOR MONDAY ON TUESDAY TO THE DEAD PAGES IN THE BACK OF THE BINDER. WE RECOMMEND MAINTAINING THE BINDER FOR THE ENTIRE MONTH AND THEN MOVING ALL THE RESERVATIONS OUT OF THE BINDER TOGETHER. YOU MAY EITHER ARCHIVE THE PAPER OR RELY SOLELY UPON THE DIGITAL ARCHIVES MAINTAINED ON YOUR BEHALF ON OUR SECURE SERVERS. (back to top)

WHO RECEIVES THE REQUESTS

UP TO FOUR PERSONS MAY RECIEVE THE RESERVATION REQUEST. CARE MUST BE TAKEN IN ASSIGMENT OF THE RESPONSIBILTY OF RESERVATION CONFIRAMTION. THERE SHOULD ONLY BE ONE PERSON RESPONSIBLE FOR THE CONFIRMATION PROCESS, IF CARE IS NOT TAKEN, THE CUSTOMER MAY RECEIVE MULTIPLE CONTACTS TO CONFIRM. (back to top)

GATHERED EMAIL ADRESSES

AS YOUR EMAIL LIST GROWS YOU CAN CONSIDER CONTACTING YOUR CUSTOMERS TO ASK IF THEY'D LIKE TO RECEIVE YOUR NEWSLETTER WITH RECEIPES, SPECIAL OCCASSIONS AND OTHER OFFERINGS. SUCH CONTACT, WITH THE WILLING CUSTOMER, INCREASES THE PROBABILITY OF MORE FREQUENT VISITS TO YOUR ESTABLISHMENT. WE DO NOT RECOMMEND OR CONDONE SALE OF CUSTOMER INFORMATION FOR ANY PURPOSE. (back to top)

MAKING USE OF THE DATABASE

AS YOU KNOW WITH CUSTOMERS, THE MORE FAMILIAR YOU ARE, THE BETTER YOU CAN SERVE THEM. WE ALLOW YOU TO DETERMINE THE FORMAT YOU WOULD LIKE YOUR HISTORICAL DATABASE FORMATTED. IF YOU USE MICROSOFT EXCEL IN THE OFFICE, WE CAN CREATE A FILE-FORMAT TO MATCH THAT PROGRAM. USING EXCEL, YOU CAN SORT THROUGH RECORDS TO ISOLATE SUCH DATA AS YOUR PEAK DAYS FOR RESERVATIONS, WHEN SPECIFIC CUSTOMERS MAKE RESERVATIONS, AND BLEND IT WITH YOUR POS DATA TO DEVELOP A MORE COMPLETE UNDERSTANDING OF YOUR OPERATION.
